JOB TITLE: Logistics Assistant/Storekeeper

LOCATION: Taiz 

REPORTING TO: Logistics Officer 

 

MAIN DESCRIPTION

The Logistics Assistant/Storekeeper role includes two sets of tasks as HALO expands its presence in Yemen.
The Logistics Assistant will support the logistics needs of HALO Yemen's Taiz office, ensuring that it is fully equipped and that activities run smoothly and efficiently, in addition, as for the Storekeeper tasks, he is in charge of managing and maintaining logistics stores in a tidy, correct, and efficient manner. 

Key Responsibilities 

Logistics Management:

  • Support procurement for the Taiz office, including liaising with suppliers, sourcing quotes, completing Purchase Request Forms, and generating Purchase Orders.
  • Respond promptly to staff supply needs and prepare in advance the purchase of regular items required for operations.
  • Support to Arrange and oversee the transport of goods and personnel between locations.
  • Work in accordance with HALO’s procurement and finance SOPs.
  • Support the compliance of HALO’s fleet with HALO policies and procedures.
  • Support the Finance division in the management of Open Vouchers and Purchase Vouchers.
  • Ensure regular maintenance of Equipment (Generator, Solar System, Electrical works) and premises.
  • Ensures the direct supervision and management of the drivers, potential daily workers, and technicians in Taiz.
  • Manage and execution of maintenance and repair work on the mission vehicle and make sure the documentation for the car is valid (registration, insurance, etc.). 
  • Ensure that a complete breakdown and first aid kits are available on board all vehicles.  
  • Check that vehicle logbooks are implemented and correctly used on a weekly basis. Make sure drivers check oil, water, and tires properly and keep the lease vehicles in clean condition, both inside and outside.

Storekeeper Management:

  • Assist the Logistics Officer in the management of capital stores.
  • Assist the Logistics Officer, organize and prepare in advance the capital and non-capital equipment required for operational teams to work on time.
  • Maintain stock cards for all non-capital equipment in the stores, recording the physical presence of items by their quantity and location.
  • Manage HALO Taiz’s non-capital stores, including demining, consumables, uniform, stationary.
  • Assist the Medical Officer in the management of medical stores.
  • Respond promptly to reasonable staff needs to the supplies they require.
  • Maintain a digital record of stores and transactions via the online database Tracmor.
  • Maintain stock cards for all non-capital equipment in the stores, recording the physical presence of items by their quantity and location.
  • Complete ‘Supply In’ forms accurately and on time when purchased goods are received and brought into stores.
  • Complete ‘Supply Out’ forms accurately and on time with accompanying signatures when supplies are distributed to operational and support staff.
  • Verifying purchasing needs on Purchase Request Forms by checking stock levels.
  • Ensure that all stores are kept in a tidy, organized manner.
  • Ensure that physical stock levels, stock cards and Supply In/Out documentation matches.
  • To ensure high working performance covering desired departments within office.
  • Fulfil other activities assigned by line-manager.

Role Requirements 

Essential

  • Good spoken and written English.
  • Strong computer skills, especially in database management and MS Office (Word, Excel, Access).
  • Attention to detail and the ability to keep clear and consistent written records.
  • Ability to plan, organize and prepare supplies required for smooth operations.

Terms and conditions: General terms, conditions and requirements will be in line with those for HALO national staff and your contract.

Work routine: Five days per week for eight hours per day, with Friday and Saturday being rest days, notwithstanding travel and non-routine events.  

Travel and leave:

  • Your annual leave entitlement as per your HALO contract and Staff Handbook.
  • This position will be based out of Taiz and may require travel to visit teams and assess future areas of operations.
