Job Purpose The CEO Office Manager ensures the efficient and professional operation of the CEO Office, enabling the CEO to focus on strategic priorities, critical business matters, and key decisions. The role serves as the primary coordination point between the CEO and key stakeholders, ensuring executive priorities, meetings, communications, and follow-up actions are effectively managed with professionalism, accuracy, and confidentiality.
Key Responsibilities1. CEO Office & Executive Support Manage the day-to-day operations of the CEO Office and maintain oversight of the CEO’s priorities, commitments, deadlines, and outstanding actions. Anticipate requirements and ensure relevant information, documents, and stakeholder inputs are available when needed. Manage executive correspondence, approvals, documentation, and confidential records. Prioritize matters requiring the CEO’s attention and ensure timely follow-up and closure.2. Calendar & Meeting Management Manage and optimize the CEO’s calendar in line with strategic and business priorities. Coordinate internal and external meetings, executive sessions, business reviews, and stakeholder engagements. Assess meeting requests based on priority, relevance, and urgency and proactively resolve scheduling conflicts. Prepare agendas, presentations, reports, briefing materials, and other relevant information.3. Executive Meetings & Follow-UpCoordinate CEO-led meetings and ensure participants, materials, and logistics are properly arranged. Document key decisions, commitments, and action items from selected meetings. Maintain action trackers and decision logs and follow up with responsible stakeholders to ensure timely completion. Escalate critical, overdue, or high-priority matters when required.4. Executive Communications & Stakeholder Coordination Manage and draft executive-level correspondence, emails, reports, presentations, and briefing notes on behalf of the CEO Office. Screen incoming requests and communications, determining priority and appropriate action. Serve as a key liaison between the CEO and senior leadership, shareholders, business partners, government representatives, and other key stakeholders. Coordinate requests for information, decisions, and actions across departments, ensuring timely responses and follow-up.5. Executive Reporting & Strategic Coordination Coordinate and consolidate reports, presentations, dashboards, and business updates required by the CEO. Support the CEO in monitoring strategic initiatives, organizational priorities, and key commitments. Coordinate with senior leaders to obtain updates on key projects, risks, decisions, and deliverables. Support the preparation of Executive Committee, Board, management review, and strategic planning materials as required. Prepare concise research, briefing notes, and executive summaries when requested.6. Travel & Executive Logistics Coordinate domestic and international business travel, including flights, accommodation, transportation, itineraries, and required documentation. Coordinate executive events, conferences, leadership meetings, business dinners, and VIP visits. Manage changes efficiently and ensure smooth coordination with internal teams and external service providers.7. Confidentiality & Professional Standards Maintain the highest level of confidentiality when handling business, financial, employee, and executive matters. Exercise sound judgment and discretion in managing sensitive information and executive matters. Represent the CEO Office with professionalism, integrity, diplomacy, and credibility at all times.
Qualifications & Experience Education Bachelor’s degree in Business Administration, Management, or a related discipline. Experience7–10 years of experience supporting CEOs, Managing Directors, or other C-suite executives in a senior executive office environment. Knowledge & Technical Skills Advanced proficiency in Microsoft Outlook, Word, Excel, and Power Point. Excellent business writing, communication, and stakeholder management skills. Strong understanding of executive office protocols and corporate communication standards. Strong capability in executive reporting, meeting documentation, action tracking, and presentation preparation. Professional proficiency in both English and Arabic, written and spoken, is mandatory.
