Job Title Executive Secretary to the Chief Executive Officer (CEO) Reports ToChief Executive Officer Job Summary The Executive Secretary to the CEO provides high-level administrative, organizational, and strategic support to the Chief Executive Officer. This role requires exceptional discretion, professionalism, and the ability to manage complex schedules, sensitive information, and executive-level communications while serving as a key liaison between the CEO and internal and external stakeholders. Key Responsibilities Executive Support Manage the CEO’s calendar, appointments, travel arrangements, and meeting schedules Prepare agendas, briefing materials, presentations, and reports for executive meetings Draft, review, and manage executive correspondence, emails, and official documents Handle confidential and sensitive information with the highest level of discretion Communication & Coordination Act as the primary point of contact between the CEO and executives, board members, staff, and external partners Screen and prioritize calls, emails, and requests for the CEOCoordinate meetings with senior leadership, board members, and external stakeholders Follow up on action items and deadlines arising from executive meetings Administrative & Operational Support Maintain organized filing systems (digital and physical) Track key deliverables, reports, and executive commitments Assist in preparing budgets, expense reports, and reimbursements related to executive activities Support board meetings, including logistics, minutes, and document distribution Strategic & Special Projects Support the CEO with research, data collection, and analysis for strategic initiatives Assist in managing special projects and cross-functional initiatives Monitor progress on key organizational priorities and report status updates Required Qualifications Bachelor’s degree in Business Administration, Management, or a related field (preferred) Minimum of 5–8 years of experience as an executive secretary, executive assistant, or similar role supporting senior leadership Strong proficiency in Microsoft Office / Google Workspace and executive productivity tools Excellent written and verbal communication skills Key Skills & Competencies Exceptional organizational and time-management skills High level of professionalism, integrity, and confidentiality Ability to anticipate executive needs and work independently Strong attention to detail and problem-solving abilities Ability to manage multiple priorities in a fast-paced environment Excellent interpersonal and stakeholder management skills Working Conditions Full-time position, primarily office-based (with flexibility depending on organizational needs) May require extended hours and availability outside normal business hours Performance Indicators Accuracy and timeliness of executive scheduling and correspondence Effectiveness in communication and follow-up Quality of administrative and strategic support provided to the CEOConfidentiality and professionalism in all interactions
