Purpose
To manage, organize, and safeguard all original documents, securities, and receivables related to leasing and factoring activities, including signed contracts, guarantees, and other legal records, ensuring secure custody, proper archiving, timely retrieval, and overseeing joint accounts under the company’s control, while keeping all facility-related documentation properly maintained and accessible when needed.
Responsibilities
Receive and register original files following the execution or booking of leasing transactions and the activation of factoring agreements. Review and verify the completeness and accuracy of all original documents and guarantees received from the Credit Control team. Manage and securely archive all documents—both physical and digital—in a structured, organized, and easily retrievable manner. Receive and safely store clients’ receivables under the supervision of the Credit Control officer responsible for the transaction. Monitor and follow up on clients’ receivables and joint accounts under the company’s control, ensuring adherence to approved credit terms and conditions in coordination with the assigned Credit Control officer. Maintain up-to-date records of all documents and guarantees to ensure efficient tracking and retrieval. Track the validity and expiry dates of guarantees and coordinate with the Credit Control and Business teams to ensure timely renewals. Enforce strict confidentiality and security measures, ensuring that storage areas are accessed only in the presence of the designated Credit Control officer. Archive matured or closed contracts in accordance with the Financial Regulatory Authority’s requirements and the company’s document retention policy. Regularly review and enhance archiving and document management procedures to support operational efficiency. Prepare and submit periodic reports on the status of files, guarantees, and collateral coverage to the relevant departments. Ensure compliance with all applicable AML/CTF rules and regulations as required in the conduct of your role. Ensure timely completion of all relevant AML/CTF training provided by the Group. Ensure response to AML, CTF & sanctions inquiries in a timely manner.
Job Requirements
Bachelor’s degree in Commerce or a related field.3-6 years of experience in administrative or financial operations roles. Good understanding of regulatory requirements related to document retention, securities custody, and financial guarantees. Basic understanding of credit documentation, guarantees, and collateral tracking. Strong organizational and time-management skills, with keen attention to detail and a high level of accuracy in maintaining records. Familiarity with document management systems and archiving tools. Ability to handle confidential and sensitive information with discretion. Solid proficiency in document management systems and standard office applications, including Microsoft Office Suite. Effective communication and interpersonal skills, with the ability to coordinate and collaborate across departments. Excellent command of Arabic and English. Able to build partnerships and work well in teams. Detail oriented; ensure deliverables are always of a high quality. Multi-tasker, with the ability to meet changing deadlines.
