Mission

Job Purpose: 

The Logistics & Warehouses Supervisor ensures the efficient operation of warehouse functions, focusing on inventory control, order fulfillment, and safety compliance. This position leads a team to optimize workflows, maintain accurate records in Maximo, and improve warehouse processes to achieve high levels of operational performance. The supervisor is committed to maintaining safety, quality, and compliance while ensuring the timely and accurate distribution of materials.

Responsibilities/Duties 

Quality Control

•Inspect incoming and outgoing products to ensure compliance with specifications outlined in purchase orders.

•Report any damaged, defective, or non-compliant items to the appropriate team members for resolution.

•Apply 5S methodology to organize and maintain storerooms to enhance efficiency and safety.

Process Improvement

•Continuously assess operational processes to identify opportunities for improvement in workflow, safety, and efficiency.

•Develop and maintain Standard Operating Procedures (SOPs) for warehouse operations to ensure consistency and high performance.

Safety 

•Ensure adherence to safety regulations and company policies within the warehouse environment.

•Conduct regular safety training sessions and implement measures to mitigate workplace hazards.

•Promote a culture of safety by consistently enforcing safety standards and procedures.

Maximo 

•Maintain accurate inventory records in Maximo, updating the system with data on received stocks, and materials issued.

•Perform regular stock audits to ensure inventory accuracy and prevent discrepancies.

•Manage the receiving, storage, and distribution of goods, ensuring proper handling and organization within the warehouse.

•Ensure that materials are received according to the correct specifications and update Maximo with stock data accordingly.

•Ensure stock is managed according to FIFO (First In, First Out) principles and update Maximo with the latest stock levels.

•Oversee the process of picking, packing, and shipping materials, ensuring timely and accurate order fulfillment.

•Implement and monitor quality control measures to ensure high standards of accuracy and product condition are maintained during order processing.

•Issue materials to departments through stock issue requests, maintaining up-to-date records in Maximo.

•Maintain accurate records of inventory transactions, shipping, receiving, and order fulfillment activities.

•Prepare detailed reports on warehouse performance metrics for management review, including stock levels, order fulfillment rates, and operational efficiency.

•Coordinate closely with purchasing, logistics, and other departments to ensure alignment and resolve operational issues efficiently.

•Communicate effectively with team members and cross-functional teams to ensure smooth operations and achieve organizational goals.

•Oversee the collection and management of spare parts and tools, ensuring they are properly cataloged, stored, and maintained.

•Manage tools that require calibration and facilitate their timely collection and re-calibration.

Team Management:

•Supervise warehouse staff, including hiring, training, and conducting performance evaluations.

•Schedule and assign tasks to ensure an efficient and productive workflow.

Inventory Accuracy:

•Monitor inventory levels and perform regular audits to ensure stock accuracy.

•Ensure materials are organized in the correct locations within the warehouse for easy retrieval.

Material Receiving and Storage:

•Issue material receiving reports for accepted goods that match agreed-upon specifications and reject non-compliant materials, processing return orders as necessary.

•Organize material storage in the warehouse according to category and ensure proper location tracking.

Essential Qualifications, Knowledge & Experience

Qualifications:

•High school diploma or bachelor's degree from a reputable university.

•Forklift operation certification and competency in materials handling.

•Training in health and safety procedures related to warehouse operations.

•Proficiency in Microsoft Office and strong IT skills.

•Excellent written and verbal communication skills in English.

Knowledge:

•Working knowledge of CMMS, preferably Maximo, to manage inventory and track warehouse operations.

•Familiarity with best practices in stockroom and warehouse management.

•Strong understanding of inventory management and bookkeeping principles.

•Knowledge of safety regulations and compliance standards in warehouse operations.

Experience:

•At least 5 to 7 years of experience in the warehouse field.

•Proven experience with CMMS (preferably Maximo) in managing warehouse operations.

•Familiarity with warehouses' best practices and operational standards.
