Collection Specialist

Job Objective

Responsible for following up on and recovering due payments from clients (tenants or property buyers), to ensure improved cash flow and minimize payment delays, while maintaining good client relationships and ensuring their commitment to contractual terms.

 

Responsibilities

1. Payment Follow-up

  • Monitor due dates and proactively contact clients to remind them of upcoming payments.
  • Track overdue accounts and send reminders via phone, email, SMS, or conduct field visits if necessary.

2. Negotiation and Payment Arrangement

  • Negotiate with clients facing delays to set up appropriate payment schedules.
  • Propose solutions (partial or temporary) in cases of long-term delays or financial hardship.

3. Documentation and Follow-up

  • Maintain comprehensive records of all communications, correspondences, arrangements, cases, and payments.
  • Update the company’s financial or accounting system with the current status of accounts.

4. Review and Reconciliation

  • Match payments with the payment plans outlined in signed contracts, ensuring compliance with agreed financial terms.
  • Review contracts to identify installment dates, advance or deferred payments, and verify consistency.
  • Reconcile accounts in case of discrepancies or client objections related to amount, timing, or method of payment.
  • Check historical records for any delays or special cases (e.g., requests to amend payment schedules) and take appropriate actions according to company policy.

5. Reporting and Analysis

  • Prepare regular reports (daily/weekly/monthly) on collection status, delays, delinquent accounts, and potentially collectible amounts.
  • Analyze key indicators, percentage of overdue accounts, and total overdue balances.

6. Internal Coordination

  • Collaborate with departments such as Accounting, Sales, Customer Service, and Legal Affairs in case legal action is required.
  • Escalate cases exceeding a specified delay period to management or the legal department.

7. Compliance

  • Ensure all collection activities are performed in accordance with internal company policies and applicable laws and regulations in Egypt.
  • Maintain confidentiality and uphold full respect for client rights during the collection process.
