About the Role:

We're seeking a highly organized and proactive Virtual Assistant/Project Coordinator with a strong interest and experience in AI automation and a broad understanding of digital services. This is a crucial role that will provide essential support to our team and enable us to focus on strategic growth. You will manage administrative tasks, streamline project workflows, and ensure seamless communication between team members, freelancers, and clients across our diverse service offerings. Key Requirement: AI Automation Experience & Digital Service Awareness

We are actively exploring and implementing AI automation tools to enhance our workflows. We are looking for a candidate who is familiar with AI concepts and has experience with automation tools. Additionally, familiarity with e-commerce platforms like Shopify and an understanding of data analysis principles is highly desirable. This includes the ability to learn and adapt to new AI-powered software and identify opportunities for automation within our processes, as well as understanding the needs of our Shopify and data-driven projects.

Responsibilities:

  • Administrative Support:
    • Manage and organize executive calendars, scheduling meetings and appointments.
    • Handle email correspondence promptly and professionally, prioritizing and filtering messages as needed.
    • Organize and maintain digital files and documents, ensuring easy access and retrieval.
    • Assist with client communication, responding to inquiries and providing updates across all service areas.
    • Conduct online research and data entry tasks.
  • Project Coordination:
    • Assist in the planning and execution of projects across Google Ads, SEO, Shopify Development, and Data Analysis, tracking deadlines and milestones.
    • Coordinate communication and tasks between team members and freelancers, including developers and analysts.
    • Monitor project progress and proactively identify and address potential roadblocks.
    • Utilize Asana for project management, ensuring tasks are assigned and tracked effectively.
    • Use Toggle for accurate time tracking.
    • Prepare project reports and updates, including data-driven insights where applicable.
  • AI Automation Implementation:
    • Identify and recommend opportunities for AI automation within our business processes.
    • Assist in the implementation and testing of AI-powered tools.
    • Stay up-to-date on the latest AI trends and technologies.
    • Assist with the data collection and organization needed for data analysis projects.
    • Assist with the organisation and communication needed for shopify development projects.
