Position Summary:
The Polyclinics Branch Manager is responsible for the overall management and operation of a polyclinic branch, ensuring the delivery of high-quality patient care, efficient service delivery, and compliance with healthcare regulations. The role involves supervising staff, managing budgets, optimizing clinic workflows, and driving business growth while maintaining patient satisfaction and operational excellence.

Key Responsibilities:

1. Operational Management:

Oversee daily operations of the branch, ensuring all services are delivered efficiently and effectively.

Develop, implement, and maintain policies and procedures to ensure smooth clinic operations.

Monitor patient flow, appointment scheduling, and overall service delivery to optimize efficiency.

2. Patient Care and Satisfaction:

Ensure that all patients receive high-quality care in a timely manner.

Address patient complaints and feedback, implementing solutions to improve patient satisfaction.

Maintain a welcoming and safe environment for patients and visitors.

3. Staff Management:

Recruit, train, supervise, and evaluate clinical and administrative staff.

Develop staff schedules to ensure adequate coverage and effective service delivery.

Foster a positive work environment that promotes teamwork and professional development.

4. Financial and Resource Management:

Manage the branch budget, ensuring cost-effective operations and adherence to financial targets.

Monitor expenses, revenue, and profitability, identifying opportunities for improvement.

Ensure the efficient utilization of resources, including equipment, supplies, and facilities.

5. Business Development:

Develop and implement strategies to attract new patients and retain existing ones.

Build relationships with local businesses, community organizations, and healthcare providers to promote the clinic’s services.

Analyze market trends and patient needs to identify opportunities for service expansion.

6. Regulatory Compliance:

Ensure compliance with all local, regional, and national healthcare regulations and accreditation standards.

Conduct regular audits and inspections to identify and resolve compliance issues.

Maintain accurate and up-to-date records in accordance with legal and organizational requirements.

7. Collaboration and Communication:

Act as a liaison between branch staff and senior management, ensuring effective communication of goals and policies.

Collaborate with other branches and departments to share best practices and resources.

Represent the branch in external meetings, events, and forums as required.

8. Performance Monitoring and Reporting:

Monitor key performance indicators (KPIs) for the branch, including patient volume, satisfaction, and financial metrics.

Prepare and present regular performance reports to senior management.

Implement corrective actions to address any areas of underperformance.

Qualifications:

Education: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field (Master’s degree preferred).

Experience:

Minimum of 5 years of experience in healthcare management or clinic operations.

Proven experience in team leadership and operational management.


Skills and Competencies:

Strong leadership and organizational skills.

Excellent communication and interpersonal abilities.
