  •  Administrative Support:
  • Manage and maintain site records, including attendance sheets, timesheets, and personnel documentation.
  • Handle correspondence such as emails, reports, and meeting minutes.
  • Ensure proper filing and organization of site-related documents, including contracts, permits, and reports.
  • 2. Office Management:
  • Set up and maintain the site office, ensuring it is functional and well-stocked with necessary supplies.
  • Coordinate with suppliers and vendors for site office requirements.
  • Monitor and manage office equipment and resources.
  • 3. Communication and Coordination:
  • Act as the point of contact between the site team, head office, and external stakeholders.
  • Schedule and coordinate meetings, site visits, and appointments.
  • Ensure effective communication among site staff, contractors, and management.
  • 4. Data Management and Reporting:
  • Compile and maintain daily, weekly, and monthly site reports, including progress and expense reports.
  • Track and record site expenses, ensuring compliance with budgets and company policies.
  • Provide regular updates on site activities and issues to the Site Manager or Project Manager.
  • 5. Compliance and Documentation:
  • Assist in ensuring compliance with site safety regulations and standards by maintaining relevant documentation.
  • Track permits, certifications, and licenses to ensure they are up to date.
  • Support audits and inspections by providing required documentation and information.
  • 6. Support to Site Operations:
  • Assist with onboarding and orientation of new site staff and contractors.
  • Coordinate transportation, accommodation, and other logistical arrangements for site personnel.
  • Handle petty cash and other small-scale financial transactions as required.

Skills

  1. Bachelor’s degree or diploma in Business Administration, Management, or a related field (preferred).
  2. Proven experience 5 years in an administrative role, preferably in a construction or project-based environment.
  3. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other administrative tools.
  4. Familiarity with construction or site operations is a plus.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in managing records and reports.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Problem-solving skills and a proactive approach to tasks.
