What will I be doing?

As an Event Services Coordinator, you would be responsible provide the Director of Meetings & Conventions / Conventions Managers with administrative support including typing, filing, answering telephones, taking messages, other general office duties, and maintaining a working knowledge of current convention groups and hotel services in the hotel's continuing effort to deliver outstanding guest service and financial profitability. Specifically, you would be responsible for performing the following tasks to the highest standards:

  • Prepare and type correspondences to the clients, convention resumes, BEO’s, and internal correspondences as directed. Prepare correspondence on behalf of management.
  • Input and revise information in a computerized function book (FDC), proofread, process, and order guest room rate cards. Maintain and distribute as necessary Meeting and convention orientation information for clients introductory kits.
  • Set up Meeting and Convention files by identifying / copying information from the sales file and organizing in standard Meetings and Conventions binders
  • Appropriate business use of telephone and voice mail system.
  • Open incoming mail, date stamps and distribute accordingly. Send outgoing mail, both interoffice and outside the hotel. Route mail, faxes and other printed materials.
  • Use the property’s email system and maintain their email box as is policy.
  • Maintain and distribute necessary Meeting and Convention orientation information for client introductory kits
