Executive Secretary & Office Manager

  • Work closely with the Chairman to be well informed of upcoming commitments, meetings, conferences, personal activities, etc. through an electronic active calendar of appointments.
  • Coordinate and manage Chairman/Board Members, staff member’s business travels, flight bookings/accommodations, and visas.
  • Prepare confidential correspondence, agendas, and other confidential administrative tasks as assigned.
  • Prepare reports, memos, letters, financial documents, presentations, and any other documents.
  • Provide a bridge for smooth communication between the Chairman's office and internal departments and act as a liaison between the organization and other external parties as assigned by the Chairman.
  • Manage and maintain filing/archiving systems, retrieve corporate documents, records, and reports.
  • Attend meetings to compile, transcribe, and distribute minutes of meetings as needed.
  • Follow-through on issues/assignments as assigned by the Chairman.
  • Handle the Chairman office setup and any maintenance if required.

Education: Relevant Bachelor Degree, preferable English major.Language: Excellent English Language proficiency.Construction & Trading experience is preferable.Years of Experience: 7-10 years of experience.Answering phones and emails.Drafting letters and preparing reports.Organising files.Coordinating travel arrangements.Handling office duties.Scheduling meetings and events for Top Management,  business employees and potential visitors,Managing calendars.Strong leadership and interpersonal skills.Professional appearance, courteous manner, and clear.Proactive, organized approach to multitasking.Familiarity with office technology and equipment, including computers, fax machines, scanners, printers, phone systems, etc.Exceptional verbal and written communication skills.Flexible working hours.Cairo Residents is a must (Company location : Nasr City)
