Administrative Assistant / Receptionist

  • Maintain the diary and arrange appointments as necessary.
  • Type reports and routine correspondence from dictation or written sources.
  • Screen and respond to all incoming telephone calls and take action as appropriate.
  • Draft routine correspondence for approval and signature by the executive.
  • Provide full secretarial and administrative support services to the executive.
  • Respond to all incoming telephone calls, ensuring that these are answered promptly and directed to the right person in the company.
  • Maintain an up-to-date list of internal telephone numbers to ensure that incoming calls are directed to the right extension.
  • Receive all visitors to the company, ensuring that their requirements are promptly dealt with and that they are given a favorable impression of the company.
  • Supervise the collection and delivery of incoming and outgoing mail to ensure that it is promptly delivered to the correct addresses, internally and externally.
  • Receive deliveries for staff in the building.
  • Issue and collect security passes and ensure visitors are entered into the visitors’ book.
  • Reserve and allocate parking spaces to visitors.
  • Observe all necessary security arrangements.
  • Maintain the reception area in a tidy manner so that a favorable first impression is given to any visitors.
  • Maintain stocks of brochures, magazines and other information and ensure that these are easily accessible to visitors.

Job Requirements: Female only Bachelor in Business Administration or relevant university degree Good command of English language Excellent user of Microsoft Office Key Competencies Working with People.
