Public Relations Officer / Admin Clerk

Main Mission

The Main mission of the Public Relation Officer / Administrative Clerk will be to assist the team based in Dubai mainly in following up the interaction with customers and public authorities.

He will also assist in the daily administrative tasks of the office.

 

Customer oriented missions:

  • Initiate and follow the registration process with our main Customers and assist in the registration with new customers. For this task you may be in close contact with the legal Department in France to organize the collection of documents.
  • Follow up the Customers Sales Order issuance process and ensure transparency on the reception date of the Purchase Orders.
  • Ensure the follow-up of our invoices within Customer organization. Regularly visit the Customer to collect information about payment process and potential new requirements.
  • Participate to the deliveries of the material on site and ensure proper signature of delivery notes with the Customer to support further payment process.
  • Assist the site managers with the signature of the Site progress report and ensure transmission to the finance manager for invoicing.

 

Public Relation Officer missions:

  • Submit and maintain the visas for local & temporary expatriates.
  • Ensure smooth relationship with all Administrations and governmental bodies.

 

Office Clerks missions:

  • Perform the Expense Claims on behalf of the different team members and follow their reimbursement request.
  • When necessary, visit the bank agencies for day-to-day requirements (cards & checks collection, opening of bank accounts).
  • Manage the relationship with the landlord and ensure that the office is correctly maintained. When necessary, request maintenance work to external companies.
  • Perform the logistic process (follow custom clearance with freight forwarder; shipment of tools to GCC countries)…
  • Organize the local purchases of the office.
  • Occasionally : drive the local team

 


Skills

Competences:

  • English + 1 other language (Arabic)
  • Driving license.
  • Excel capabilities

 

Experience:

  • At least 5 years in similar position in UAE.
  • Experience of UAE administration and/or Public companies (ADNOC,DEWA, Transco, SEWA etc…)

 

Qualities:

  • Autonomous.
  • Very good interpersonal skills
  • Pushy with stakeholders.
