Work Type / Arrangement: Remote for a short temporary period (until our new office in Walk of Cairo is fully completed)
Working Hours: 3:00 PM – 12:00 AM
Location: Walk of Cairo (onsite after setup)

Key Responsibilities
Executive Support
- Manage calendars, priorities, appointments, scheduling workflows and daily priorities.
- Handle email communication, follow-ups, and daily coordination with professionalism.
- Prepare reports and business documents with accuracy, clarity and attention to detail.
- Organize files and digital documentation systems.
- Provide high-level administrative and executive support to senior leadership.
- Respond promptly to urgent matters via WhatsApp and email.
- Track ongoing tasks, deadlines, and operational updates to ensure workflow efficiency.
Logistics Operations Support
- Follow up on shipments, timelines, documentation, and status updates.
- Assist with daily logistics operations and communication.
- Support the preparation of commercial invoices, packing lists, and logistics paperwork.
- Coordinate with freight forwarders, carriers, and warehouses when required.
- Monitor shipment statuses, identify delays or exceptions, and escalate issues proactively.
- Ensure accurate data entry and maintain organized, up-to-date all logistics activities.
- Contribute to operational problem-solving and process improvements within the logistics workflow.
Accounting & Audit Support
- Oversee the verification, reconciliation, and accurate recording of all logistics-related financial transactions, including freight invoices, customs charges, and vendor billing.
- Coordinate proactively with Accounting and Internal Audit teams by providing timely documentation, resolving discrepancies, and ensuring full compliance with audit and financial control requirements.
- Identify inconsistencies within financial or logistics documents and escalate issues to the relevant departments for corrective action.
- Support periodic internal and external audits by preparing audit-ready reports, evidentiary files, and compliance documentation.
- Liaise with freight forwarders, customs brokers, and suppliers to resolve billing discrepancies and validate supporting documents prior to payment processing.
- Generate periodic financial summaries and cost-analysis reports to support strategic decision-making for logistics operations.
- Recommend and implement process improvements within accounting and logistics workflows to enhance accuracy, operational efficiency, and audit transparency.
