Job Purpose
The Procurement Officer is responsible for sourcing, negotiating, and purchasing raw materials, machinery, equipment, and spare parts from international suppliers. The role ensures cost-effective, timely, and quality procurement that supports Intertrade’s production and operational needs while complying with company standards and import regulations.
- Identify and evaluate foreign suppliers for raw materials, machinery, and spare parts.
- Request and compare quotations, samples, and technical specifications.
- Build and maintain strong relationships with suppliers and logistics agents.
- Monitor supplier performance in terms of price, quality, and delivery reliability.
- Prepare and issue purchase orders (POs) and follow up on order confirmations, proforma invoices, and shipment schedules.
- Negotiate prices, payment terms, and delivery conditions to ensure the best value for the company.
- Coordinate with the Finance and Customs teams for payments, letters of credit (L/C), and bank documents.
- Ensure all imported goods meet required technical standards and specifications.
- Coordinate with shipping agents, freight forwarders, and customs brokers to track shipments and resolve issues.
- Follow up on import documentation such as invoices, packing lists, certificates of origin, and bills of lading.
- Ensure accurate and timely customs clearance and delivery to the factory.
- Maintain a proper import tracking sheet with shipment status and lead times.
- Keep detailed and organized records of supplier quotations, purchase orders, payments, and shipping documents.
- Prepare monthly reports on international purchases, delivery performance, and cost analysis.
- Support management in budget planning by providing reliable cost estimates and supplier data.
Bachelor’s Degree in Business Administration, International Trade, Supply Chain, or a related field.2–5 years of experience in international procurement or import purchasing (plastic or PVC manufacturing sector preferred).Strong understanding of import procedures, INCOTERMS, and international logistics.Excellent negotiation, communication, and supplier management skills.Proficiency in Microsoft Excel and ERP systems (Odoo experience is a plus).Good command of English (spoken and written) – required for supplier communication.Attention to detail, problem-solving ability, and strong follow-up skills.
