The firm's core work is holistic at its approach, and it has divisions in structural, MEP, Geotechnical, and emerging construction technology such as 3D printing of concrete, technology, and 3D laser scanning.Job SummaryAs a People Coordinator, you will play a crucial role in providing administrative support to our human resources and people management functions. Acting as the first point of contact, you will handle correspondence, organize events, manage travel arrangements, conduct research, and assist in various administrative tasks. This position requires strong organizational skills, attention to detail, and the ability to effectively communicate with internal and external stakeholders.Responsibilities:Acting as the First Point of Contact: Manage incoming correspondence, including emails and phone callsProvide professional and timely responses to inquiries and requestsEvent and Conference Organization:Assist in the planning and coordination of company events and conferencesHandle logistical arrangements, such as venue booking, catering, and audiovisual setupTravel Arrangements:Coordinate travel, transport, and accommodation bookings for employeesEnsure travel itineraries are organized efficiently and within budget constraintsResearch Support:Conduct research as required to support various projects and initiativesCompile and analyze information to assist in decision-making processesAdministrative Support:Prepare reports, presentations, and correspondence as neededManage databases and filing systems to ensure accurate record-keepingImplement and maintain administrative procedures and processesStakeholder Liaison:Liaise with internal staff, external suppliers, and clients to facilitate smooth operationsBuild and maintain positive relationships with stakeholders at all levelsExpense Management:Collate and file expense reports in accordance with company policiesEnsure accuracy and compliance with expense reimbursement proceduresAd Hoc Requests:Assist with various ad hoc tasks and projects as assigned by managementFlexibility to handle diverse responsibilities and prioritize workload accordinglyQualifications and SkillsBachelor's degree in Human Resources, Business Administration, or a related field (preferred)Proven experience in administrative support roles, preferably in a human resources or people management environmentStrong organizational and time management skills, with the ability to multitask and meet deadlinesExcellent communication skills, both verbal and writtenProficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)Attention to detail and accuracy in all tasksAbility to maintain confidentiality and handle sensitive information with discretionPositive attitude, proactive approach, and willingness to learn and adapt in a fast-paced environment
