Personal Assistant

We are seeking a highly organized and efficient Personal Assistant to provide comprehensive support to our GM.

As a Personal Assistant, you will be responsible for managing the daily administrative tasks, coordinating schedules, and assisting with various projects. The ideal candidate for this role should have excellent communication and organizational skills, as well as the ability to multitask and prioritize effectively.

Responsibilities:

  1. Manage the executive's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
  2. Screen and prioritize incoming calls, emails, and correspondence, and handle or delegate as necessary.
  3. Prepare and edit documents, presentations, and reports, ensuring accuracy and formatting consistency.
  4. Coordinate and prepare for meetings, including compiling agendas, taking minutes, and distributing materials.
  5. Conduct research and gather information on various topics as requested by the executive.
  6. Handle confidential and sensitive information with discretion and maintain strict confidentiality at all times.
  7. Assist with personal tasks and errands, such as booking appointments, managing household staff, and coordinating family events.
  8. Manage special projects and initiatives, ensuring timely completion and delivery.
  9. Act as a liaison between the executive and internal and external stakeholders, maintaining professional and positive relationships.
  10. Perform general administrative tasks, such as filing, organizing documents, and maintaining office supplies.

Preferred Candidate:

  1. Proven experience as a Personal Assistant or similar role, with at least 5 years of experience supporting senior executives.
  2. AUC / GUC graduated is preferable
  3. Previous experience in real estate or engineering field
  4. Exceptional organizational and time management skills, with the ability to prioritize and meet deadlines.
  5. Strong attention to detail and accuracy in all tasks.
  6. Excellent verbal and written communication skills, with the ability to effectively interact with individuals at all levels.
  7. High level of discretion and confidentiality.
  8. Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  9. Ability to handle multiple tasks and projects simultaneously.
  10. Flexible and adaptable, with the ability to work well under pressure.
  11. Positive attitude, proactive mindset, and ability to work independently and as part of a team.
  12. Strong problem-solving skills and ability to think critically.
